A form from the council, your insurer or the tax office usually has real form fields. Printing it, filling it in by hand and scanning it back gives you a crooked grey sheet where the figures are hard to read. Drop the PDF here and its fields are read out: text boxes, tick boxes, drop-down lists and radio buttons appear one below the other, showing anything that was already entered. You complete them and download a new copy; the original file stays untouched. If you are told there are no fillable fields, it is not a real form but a flat page — use PDF editing to place the text yourself.
By default the fields stay a real form: whoever opens the file can still change them. That is what you want when the document has to pass through someone else's hands — a colleague who fills in their part — or when you reuse it next month with new figures. Switch on locking and the values you entered become part of the page itself. Choose that for the final version you send off: nobody types over it by accident, and no reader suddenly shows a field as empty or in a different typeface. There is no way back, so keep the blank original separately.
Forms like these tend to carry a national insurance number, income details or medical answers. The filling in happens in your own browser: the file is not uploaded and stays on your computer. Do watch what remains inside the PDF afterwards — locking fixes the visible values, but hidden document details such as the author, the software used and the dates stay exactly where they were. To clear those as well, run the file through PDF flatten and clean afterwards. And if the form has to go out with scanned attachments that will not fit in an email, send the whole lot as a download link.
