Good to know

What goes into the PDF and what doesn't

The PDF shows the cell values as they appear in the spreadsheet: numbers with their formatting (amounts, percentages, dates), text, and the result of formulas as stored in the file. If a formula has no stored result, because the file was not saved by Excel, that cell stays empty and the tool tells you so; in that case, open the file in the Excel tool first, which calculates the formulas. The header row is detected when the first row contains only text and the row below it contains numbers; that row gets a light background and is repeated on every page. For an xlsx the cell formatting is included: fill colours, borders, bold, italic, text colour, alignment and text wrapping (you can switch this off with a tick box); a sheet without formatting of its own keeps the light header row. Charts, images and the font itself are not included: the PDF uses a standard font.

Fit to the page, or spread over several pages

A wide sheet does not fit on an A4 page. With 'Fit columns to the page width', all columns are scaled down evenly until they fit the width; the text gets smaller as well. If you turn that off, the columns are split into groups across several pages, just as Excel does when printing. The tool picks portrait or landscape itself based on the width; you can always set it yourself. A long text continues over empty cells next to it, as in Excel. If the neighbouring cell contains something, the text continues on a new line and the row gets taller; no text is dropped. If the file has a print area, print titles, its own margins or a header and footer, the PDF follows them; under 'Choose the print area, titles, header and footer yourself' you can set them yourself.

Hidden sheets and empty sheets

All sheets are in the list. Hidden sheets are marked '(hidden)' and unticked, because Excel does not print them either; tick them if they should be included after all. A sheet without content produces no page. The conversion happens in your own browser: the file never leaves your computer, and you can edit, compress or share the PDF you download straight away via downloadlink.
